Why You Need A Wedding Coordinator

I’ve been planning and coordinating weddings for a number of years and after each wedding I get the same question, “Who does all this when you’re not here?” The answer to this is sadly, NO ONE. Despite the regalia of friends and family wanting to help with your wedding, without a wedding day coordinator the truth is that no one takes care of all the logistics involved in your wedding.

How Much Stuff Is Really Going On?

When you think about a wedding you think about the lovely bride walking down the aisle, the groom waiting for her at the other end, the big kiss, chatty guests enjoying cocktails, savory culinary delights, towering wedding cakes and overall a big party. But what you probably don’t realize is that it takes a lot of work to get all those moving pieces of a wedding together to create the overall joyous celebration.

Each aspect of the wedding is usually provided by a different vendor, many of whom have never met before this wedding day. Each has separate conversations with the bride and groom about their involvement in the wedding but without a wedding coordinator there is no one to bring them all together. It’s just too busy for the bride and groom to do this.

5 Ways A Wedding Coordinator Works Magic

What a wedding planner does is tie all these elements together. Here is a list of just 5 ways I assist my clients leading up to and on their wedding day.

 

1. Get all the details in one place- When I start working with a couple the first thing I do is have them put everything into  Firefly Occasions’ Proprietary “It’s All In The Details Worksheet.” That means that all the specifics from the emails they’ve been collecting, bits of paper and pages of contracts go into one worksheet so they can quickly see their whole wedding on one piece of paper.

2.Introduce myself- I call all the vendors involved in the wedding day and introduce myself. I let them know that if they have any questions that they can come to me. That way the answers are consistent to each vendor and the bride and groom don’t get frazzled.

3. Create a wedding day itinerary- The itinerary is so important for weddings. This gives myself, the bride and groom, the bridal party, the vendors and the venue a step by step guide to the wedding day. We try to keep things running on time as much as possible but regardless the framework is there so everyone knows what comes next and where they are expected to be.

4. Attend the rehearsal- The wedding planner needs to go to the rehearsal and connect with the bridal party. This is an opportunity to make everyone comfortable with what is going to happen on the wedding day. Plus there are always dozens of questions from the bridal party and again, the message is consistent.

5. The Wedding Day- This is the big day. I can’t get into every detail that I cover on the wedding day but as you can imagine I’m pretty much everywhere at once, armed with walkie talkies and an emergency kit. I’m often seen sewing buttons onto groomsmen’s vests, fixing bridesmaid’s hair, organizing the timing of dinner with the venue, and of course there’s setting up and tearing down all the décor (which can sometimes make for a 23 hour day- seriously). It makes for an exhausting but satisfying day. Believe me, you can’t put all this on your friend that you’ve invited to the wedding. A friend who offers to do it for free is not as invested in your wedding day (nor do they have the same kind of experience) as a professional wedding planner.

There is a lot of experienced knowledge that a wedding planner can share with you to make the weeks leading up to your wedding a lot less of a headache.
